Information We Collect

Our Property Portal app is designed with privacy in mind. We collect minimal information:

• Property Code: A unique code provided by your property developer to access property-specific information
• Usage Data: Anonymous information about how you use the app, including features accessed and interactions
• Device Information: Device type, operating system, and unique device identifiers for app functionality

We do not collect your email address, phone number, or other personal contact information through the Property Portal app.

OpenHouse Assistant Conversations

When you interact with the OpenHouse Assistant, our AI-powered helper for questions about your home, we collect anonymised records of those interactions to improve the service. This includes:

• The text of your messages, with any personal details (such as names, email addresses, phone numbers, or postcodes) automatically removed before storage
• A general classification of any photos you send (for example, “kitchen counter” or “ceiling fixture”). We do not retain the photos themselves in our analytics
• Transcripts of any voice notes, with the same personal-detail redaction applied
• The Assistant's response and the model performance details (processing time, type of answer given)

These records are stored without any link to you, your home, your unit number, or your development. They cannot be used to identify you and are processed under our legitimate interest in improving the quality of the OpenHouse Assistant. We use this data to make the Assistant more helpful and to understand, at an aggregate level, what homeowners commonly ask about, for example, “the most common questions new homeowners ask in their first month.”

We may share aggregate insights from this data (for example, “70% of homeowners ask about heating in their first week”) with property developers and in our marketing materials. We do not share data that could identify you or your specific conversations.

Your conversations with the OpenHouse Assistant are also stored so the assistant can refer back to what you've said within the same conversation. This stored conversation history is separate from the anonymised analytics described above. It includes the text of your messages, references to any photos you've sent, and the Assistant's responses. We retain this conversation history while you continue to use the Assistant. You can request deletion of all your conversation history at any time by contacting us.

If you raise an issue with your site team through the Assistant, that issue is processed separately. It is identifiable, linked to your home, and shared with your developer so they can act on it. This is necessary to provide you with the service.

How We Use Your Information

We use the information we collect to:

• Provide access to your property-specific information and documents
• Display relevant community notices and local information
• Improve and personalise your app experience
• Maintain and improve app performance and security

Data Sharing

We do not sell your personal information. We may share limited information with:

• Service Providers: Third-party companies that help us operate our app (hosting, analytics) under strict confidentiality agreements
• Legal Requirements: When required by law or to protect our rights

Third-Party Content

Our app may display content from third-party services such as YouTube videos. These services have their own privacy policies, and we encourage you to review them. We do not control or have access to data collected by these third-party services.

Data Security

We implement appropriate technical and organisational measures to protect your information against unauthorised access, alteration, disclosure, or destruction. All data transmission is encrypted using industry-standard protocols.

Data Retention

We retain usage data only for as long as necessary to provide and improve our services. You may request deletion of any data associated with your device at any time by contacting us.

Children's Privacy

Our app is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
